Full Job Description

Overall responsibility for greeting all visitors to site. Facilitating checking wildlife in using our data base. Populate and correlate all data on salesforce . Transfer all information written or verbal to our data base.

Liaise with our visitors on status of general enquiries and manage expectations. Liaise with all departments and be confidential at all times. To manage the daily operation in our reception ensuring that support volunteers are maintaining best practice and that reception meets the highest standards. Maintain all paperwork and update data base.

Main Duties

  • Manage the daily operation within the reception ensuring reception volunteers are working well as a team in an efficient and diligent manner, maintaining best practice, and effectively recording data according to our agreed protocols

  • Ensure that reception holds accurate records of all data that is entered by others, and use this data to guide future adaptation to discuss with CEO

  • Ensure that reception volunteers have monthly one-to-ones, as well as continued support and motivation

  • Induct volunteers in reception and train within our Standard Operating Procedures and oversee the continued professional development of all reception volunteers

  • Liaising with all other staff

  • Carry out regular maintenance checks ensuring that data is secure, well maintained, secure and in line with agreed best practice

  • Produce reports on reception to evaluate and update

  • Maintain our database of external contacts to further the interests of the rescue, Be responsible for all printed paperwork and stored files

  • Maintain good public relations and help to maintain a high profile for the charities raising the public awareness of the importance of our work, volunteers and donations.

  • Meet agreed objectives, undertake an annual performance review and undertake training as required

  • Be flexible and willing to take on special projects or other reasonable duties as requested

  • While at work all staff are required to take care of their own health and safety and that of others who may be affected by their acts and omissions

  • To be aware of and comply with the requirements stated within the Staff file and other policies and operational procedures as issued from time to time, Working on bank holidays and week ends will be a regular requirement of this role as we are here 365 days a year.

  • The post holder needs to be aware that the role is physically challenging and emotionally demanding. Due to the nature of the work the role requires reaching, squatting, kneeling, bending and stretching. The role also required lifting and carrying.

  • Relevant administrative related qualification

  • Excellent IT skills especially Word, Excel, internet and email

  • Experience of reception and administrative work

  • Experience of accurate data input, confidentiality and record keeping

  • Excellent interpersonal skills

  • Experience of successfully developing and leading teams to create a positive working environment

  • Excellent communication and customer care skills

  • Management of volunteers is desirable

  • High degree of emotional stamina and the ability to cope with wildlife trauma

  • Willingness to undertake training as and when required

  • Prepared to work flexibly including evenings and weekends, cover sickness and holiday periods.

  • Car driver with full clean driving licence May 2024, GCSE or equivalent (preferred)
