Full Job Description

To be responsible for undertaking a wide range of administrative duties and the provision of administrative support to the multidisciplinary team.

Duties can include but are not limited to, leading the running of patient searches and requested reporting data, administration of databases and the Practice recall systems. Using clear protocols create consistent lean response across the practice to frequently encountered abnormal results in order to remove as much unnecessary dealing of pathology results from GP workload as possible.

Primary Responsibilities

  • Be responsible for the booking patients for appointment for registers: Learning disabilities, severe mental illness, childhood immunisation and Pregnancy.

  • Long term conditions recall - monthly recall system for inviting patients in for their annual reviews

  • Be a part of the Respiratory team and invite patients based on risk criteria.

  • Run regular searches and audits

  • Develop organisational performance indicators, scorecards and dashboards related to service quality and performance; and work with relevant cross-departmental colleagues to identify methods to collect and analyse such indicators.

  • Develop and maintain a process for gathering, validating, and analysing performance information relating to Organisational plans/strategies, key policies and standards, service effectiveness and service risk.

  • Send bulk text messages as required

  • To remove as much unnecessary dealing of pathology results from GP workload as possible

  • Using protocols create consistent lean response across the practice to frequently encountered abnormal results

  • Using practice written protocols ensure consistent lean care for all of our Prediabetic and Diabetic patients

  • Monitor the generic email addresses on a daily basis and action or redistribute within the Practice.

  • Inviting patients in for Shingles/MMR/MenACWY

  • To cover the Shared Care OST emails 2 days per week and annual leave/sickness cover.

  • File Patient POD results and navigate to correct clinician based on results.

  • Cover Detox administration

  • Communicate effectively with patients and carers, recognising the need for alternative methods of communication to overcome different levels of understanding, cultural background and preferred ways of communicating.

  • Anticipate communication barriers and take action to improve communication.

  • Maintain effective communication within the practice environment and external.

  • Act as an advocate for patients and colleagues.

  • Ensure awareness of sources of support and guidance (e.g. PALS) and provide information in an acceptable format to all patients, recognising any difficulties and referring where appropriate.

    Experience of working in a primary care or general practice setting (Essential)

  • Experience of working with the general public (Essential)

  • Ability to record accurate patient notes (Essential)

  • Ability to follow policy and procedure (Essential)

  • Experience of working in a healthcare setting (Desirable)

  • Working knowledge of EMIS (Desirable)

  • Working knowledge of the 'askmyGP' system (Desirable)
