Full Job Description

An exciting opportunity has arisen for a part-time, temporary Administrative Officer providing an efficient administration function for the Independent Visitor Service.

WHAT IS INVOLVED?
Providing administrative support to the Independent Visitor Service.

Duties will include:
Database Management: To assist in the management of the volunteer and referral databases. Actions to include weekly review of active volunteers for DBS/Car Insurance/Expenses and reports and highlight where an unmatched volunteer could be matched.

Activities: To assist in the researching of activities that are appropriate for the Independent Visitor service and linking with organisations that might offer better value for Looked After Children. To create a directory of activities for Independent Visitors of activities that they can book via the team and themselves.

Finance/Budget: To support in the running of all aspects of the finances for the service.

Research: Have an allocated weekly time to review current research and reports online and via other organisations to assess the current situation with looked after children on a national level and how other organisations are dealing with this, including partner Independent Visitor services nationally.

Service Advertisement:
Assist in the design and application of service advertisement to: Children and Young People's Service workers

Positive relationships:
As the service develops from 80 volunteers to 120, it is imperative that anyone who comes into the administration role has the ability and want to build a professional rapport with all the volunteers as they do send numerous email requests and do look for support in a variety of ways.

Some of those requests can be dealt by administration and if a good working relationship is established, this makes that easier. It could be extended to attending events where the volunteers are present, support with training and meet with Independent Visitors and their young people on certain occasions with the Independent Visitor Coordinator., Durham County Council currently operates a hybrid working policy where a model of 2 days in the workplace and 3 days at home/remote will apply. Qualifications : BTEC National in Public Administration or NVQ 3 Business Administration or equivalent
