Full Job Description

  • Welcome all guests to reception in a friendly and welcoming manner.

  • Answer and direct calls in a friendly and professional manner and take messages as required.

  • Manage pupil database (Scholarpack) maintaining records to ensure accurate reporting data

  • Ensure new pupil forms are correctly completed and challenged when appropriate, carry out regular reviews for updated data.

  • Maintain open office areas in a clean and tidy manner

  • Manage school email system and action items as appropriate

  • Send school correspondence to parents via ParentMail software

  • Receive deliveries, open and direct mail accordingly

  • Maintain security, ensuring visitors and children are signed in and out during the day.

  • Assist with a variety of administrative tasks such as copying, scanning and filing

  • Telephone parents as and when required

  • Manage the school calendar inputting entries when needed and sending reminders to include booking of visitors and contractors.

  • Assist with hospitality when required

  • Co-ordination of split-parent families and ensure all communication is sent to both.

  • Medicine co-ordination and accurate record keeping.

  • Maintain confidentiality at all times.

  • Daily recording of staff absence onto Scholarpack

  • Anycomms secure data upload & downloads

  • Starter and leaver paperwork

  • Follow school sickness policy regarding children and challenging where necessary

The post holder may be required from time to time to undertake other duties within the school as deemed reasonable and appropriate by the Head of School/Trust Business Manager/CEO, without changing the general character of the duties or the level of responsibility entailed. This is a common occurrence and would not justify a reconsideration of the grading of the post.
