Full Job Description

  • Ordering of machines from suppliers and the creation of whole goods in IBCOS GOLD (Dealer Management System

  • Allocation of whole goods to customers on receipt of Sales Acknowledgements, plus the creation of the trade-in, as required, including HPI check

  • Review customer accounts ensuring that they are set up for self-billing invoices and VAT registered.

  • Set up of cost lines against whole goods (PDI, bonuses) prior to invoicing to ensure that an accurate reflection of the true cost of sale is recorded.

  • Booking in of whole goods on receipt of delivery notes.

  • Processing of invoices / credit notes from suppliers and storage within an electronic documents store.

  • Invoicing of new and used whole goods including road registration as required.

  • Process of the whole good sales "wash outs" for the sales team to ensure accurate amounts in sales team's monthly commission.

  • Monthly review of accrual lines to close off PDI cost lines, identify any supplier invoices that are missing and bring any outstanding items into stock.

  • Liaise with the internal transport team for movement of machines to customers or between depots.

  • Maintain accurate stock records and carry out routine stock takes.

  • Support sales team with documentation required to complete the sales process, including warranty documents, delivery notes and BAGMA installation forms.

    You will have strong administration skills, excellent communication skills and good attention to detail.

  • You will be able to prioritise and organise your workload efficiently.

  • You will be numerate and literate, GCSE English and Maths Grade C or equivalent.

  • You will possess good IT skills and be at intermediate level with Microsoft Word, Excel, and Outlook.

  • Previous experience within a similar role would be advantageous.
