Full Job Description

We are looking to recruit an enthusiastic, experienced and dedicated Executive Support Administrator to join our team.
As a member of the Executive Support Team, you will be responsible for providing a responsive and confidential support service to the Executive team and providing administration support to the Research team. You will have excellent administration and communication skills, both written and verbal, with a positive can-do attitude. You will have proven experience in taking minutes (typed straight onto a device) and excellent knowledge of Microsoft packages. You will have the ability to problem-solve, prioritise your workload and be flexible. It is also essential that you are able to create working relationships and demonstrate good communication within the team, across St Luke's and with external partners. A keen interest in research within specialist palliative care is desirable.
Key Responsibilities:
Executive Support:

  • Act as the primary contact for Executive team inquiries, demonstrating professionalism and directing queries appropriately.

  • Provide confidential support for committee meetings and governance-related activities, including agenda preparation, minute-taking, and action item monitoring.

  • Maintain awareness of Executive team activities to respond to inquiries proactively.

  • Organize complex meetings for executives, including external stakeholders.

  • Conduct one-off diary management audits for Executive team members.

  • Take ownership of administrative and project tasks for the Executive team.

  • Develop and maintain systems to streamline Executive workload, minimizing paper usage.

  • Manage Executive correspondence, prioritizing and drafting responses as needed.

  • Maintain strict confidentiality in all matters.

  • Provide support to any Executive team member during absences or unavailability.

  • Research Administration:
  • Collaborate with the Head of Research to fulfil specific administrative needs for research activities.

  • Organize meetings and committees, manage agendas, take minutes, and follow up on action items.

  • Assist in maintaining research governance documents.

  • Manage research databases, including the research register.

  • Ensure St Luke's website research pages are updated in collaboration with relevant teams.

  • Support in organizing research meetings and conferences.

  • Aid in the administration of funding applications to potential bodies.
