Full Job Description

The Certification Administrator role sits in a team providing high quality and effective administration of Interface's certification services, including incoming and outgoing client communication, preparation of documents, data and compliance management, and generally supporting operational management, other office-based functions, auditors and clients.

Certification Administrators are essential for the effective and efficient delivery of services and are a primary point of contact for clients and auditors. As such, the role is one that is key to maintaining excellent customer satisfaction.

The Certification Administrator role is busy, with a high volume of clients to be managed and tasks to be followed through to completion. Certification Administrators regularly address problems and issues arising and therefore need a sound technical knowledge of Interface's services, which will develop over time.

Responsibilities and Key Performance Indicators

  • Entering data into our CRM system, document management system and external portals.

  • Preparing audit documents and information, including job cards, calendar appointments and certification packs.

  • Completing complex back-office tasks to ensure compliance.

  • Develop a sound understanding and ability to use Interface's software systems.

  • Client support and client communication.

  • Liaising with clients by phone, email and web conferencing.

  • Providing information to incoming callers.

  • Contributing to the maintenance of excellent customer satisfaction.

  • Develop a sound technical understanding of at least one of Interface's certification services, and demonstrate a basic awareness of all services.

  • Working closely with and supporting other Administrators, and wider colleagues, as part of the office team.

  • Other duties as required by the Admin Manager or other Interface management.


  • Work Arrangements
  • Full time (5 days per week, 09:00 - 17:00 with 30 minutes lunch break) desired or part-time (c.30 hours/week) acceptable.

  • Office-based (Telford).

  • Mileage allowance if business travel required.

    Knowledge of typical business processes and software.


  • Knowledge of certification schemes, such as ISO systems or Chain of Custody would be ideal but not essential.

    Education to A level or equivalent NVQ etc.

    Experience

    A proven track-record of administration work and, ideally, experience of working in a growing, high positions. pressure SME environment.

    Skills and competencies

    An ability to consistently put Interface values into Good CRM and document management practice by demonstrating a positive attitude to software skills (e.g., Insightly, M-Files). customer service and constructive cooperation with colleagues.

    Good standard office skills (Microsoft office etc).

    Excellent and proven communication, telephone manner and inter-personal skills

    Good organisational skills and time management

    Good grammar and language (English) skills, with an attention to detail and an ability to review complex reports.

    Physical, mental and emotional demands

    Ability to work as a member of a high-pressure team.
