Full Job Description

Llais (Cardiff & Vale of Glamorgan region) is seeking an Advocacy Support Officer primarily based in the Cardiff office to provide support to the Complaints Advocacy department and the general administrative team. The successful candidate will be a self-motivator, reliable and have a sound knowledge of office practices. The person will be flexible and adaptable in their approach to the varying day to day demands of the role, possess the ability to work as part of a team or on their own initiative. Excellent interpersonal skills in order to communicate verbally and in writing with a wide range of stakeholders is required along with outstanding time management and the ability to prioritise workloads and work to set deadlines.
The post holder will be responsible for providing a full range of office administrative and secretarial support services to assist Llais in undertaking its various functions and responsibilities. The successful candidate will support the regional director, staff and members of the organisation and also interact with patients and the public.
Main Duties of the job
The post holder will be the first point of contact to members of the public who wish to make a complaint/ raise concerns about any aspect of their NHS and social care, service or treatment.
The post holder will be an experienced administrator, providing comprehensive support to the Complaints Advocates including arranging meetings, and taking minutes and drafting paperwork. The post holder will co-ordinate the work of the advocates, ensuring that cases are dealt with in a timely manner.
The post holder will also attend client a meetings to support the advocate by making a note of key issues which will later be used to prepare correspondence.
The post holder will be responsible for preparing regular reports for Llais by analysing data from multiple sources, ensuring that areas of concern are reported to the Regional Director for remedial action and to inform future work.
